About Welepix

What is Welepix?

Welepix is a platform built for photographers to manage client photos, share galleries via secure links and archive sessions long-term. It consists of three separate products: Gallery, Storage and Guest Gallery. Each solves a different problem and has its own subscription.

What is the difference between Gallery, Storage and Guest Gallery?
  • Gallery — an active workspace for day-to-day client work: upload a session, share, client picks favourites, free up space.
  • Storage — a long-term photo archive with folder structure. Suited for RAW files, old sessions and backups.
  • Guest Gallery — event guests upload their own phone photos into a shared gallery via a QR code.
Do I need all three products?

No. Choose only what you need — for example, Gallery alone for everyday work, Storage alone for archiving, or all three together. Each product can be activated and cancelled independently.

Who is Welepix for?

The platform is built for professional photographers — wedding, portrait, event, family and commercial photography. It fits both solo photographers and small studios that need a tidy client workflow and a safe archive.

Gallery

How does Gallery work?

Gallery is an active workspace. A typical cycle:

  1. Upload your session
  2. Create a share link (with or without a PIN)
  3. Client browses and picks favourites
  4. Deliver the final result
  5. Free up space for the next project
What does the GB number mean in Gallery plans?

It is your active workspace capacity — how much data you can keep at any one time. It is not total annual storage. After delivering a session, you delete the files and reuse the freed space for the next project. The actual monthly throughput is therefore much larger than the plan GB.

Which file types can I upload to Gallery?

Gallery is meant for final, client-ready photos. Supported formats: JPG, JPEG, PNG, WEBP, AVIF, HEIC, HEIF. RAW files are not allowed in Gallery — they belong in Storage.

Is there a per-file size limit?

There is no per-file size limit in Gallery plans — you can upload large, high-resolution images. The overall plan capacity and a fair use policy still apply.

Which gallery layouts can I choose?

Welepix offers three share-page layouts: Grid (uniform tile grid), Masonry (variable height with a natural flow) and Mosaic (mixed-size blocks). You can choose a layout per gallery to match the session style.

Can I add a logo and watermark?

Yes. The share page can display a logo and author name, and photos can carry a watermark — either text or image. Position, opacity, rotation, font size and colour are all adjustable.

Can clients download photos?

You decide. Download and selection are toggled per share link, so you can allow view-only, or let the client both select and download.

How do I see which photos the client picked?

Selected and liked photos appear instantly in your dashboard. Each photo shows what the client did — preview, full-size open, comment, like, selection for download. You can also receive an email notification for new selections.

Storage

How does Storage work?

Storage is a long-term photo archive. Upload files, organise them into folders and subfolders, and keep them for as long as you need. It is designed for finished-session archives, RAW files and backups.

What does the 90-day minimum retention mean?

Every file uploaded to Storage must stay there for at least 90 days — it cannot be deleted during that period. This is a long-term storage standard that keeps pricing stable and low. After 90 days you are free to delete or move files.

Can I store RAW files?

Yes — Storage supports all major RAW formats: CR2, CR3, NEF, NRW, ARW, SRF, SR2, RAF, RW2, ORF, PEF, DNG, RWL, SRW, TIFF. Standard formats (JPG, PNG, WEBP, HEIC, HEIF, AVIF) are also supported.

How do I organise files in Storage?

Storage uses a hierarchical structure: Storage → Folder → Subfolder → Photos. Create as many levels as you need and name them by date, client or project.

Can I move files from Gallery to Storage?

Yes. Once a session is delivered, you can archive it by moving files from Gallery to Storage. Gallery space is freed for the next project while the originals stay safe in long-term archive.

Can I expand Storage capacity?

Yes. With the Vault 1TB plan, you can add +250 GB blocks as many times as needed — no upper limit. Each +250 GB block carries a separate monthly fee.

Guest Gallery

What is Guest Gallery?

Guest Gallery is a separate product for events (weddings, birthdays, conferences). You create an event and receive a QR code that guests scan with their phones to upload photos into a shared gallery through the browser. You get all guest moments collected in one place.

How does the event QR code work?

The generated QR code can be printed on table cards, posters or shown on screen. Guests scan it with their phone, a mobile-first upload page opens, they pick photos from their gallery and the photos upload automatically. No registration and no app install required.

What photo size can guests upload?

In Guest Gallery individual photo size is capped at 20 MB — more than enough for phone photos. Supported formats: JPG, JPEG, PNG, WEBP, HEIC, HEIF. RAW and video are not supported.

Do guests need to register?

No. Guests scan the QR code and upload photos anonymously — no account, no password. For abuse protection, the system tracks the device IP and applies a per-device photo limit.

Where do I see photos uploaded by guests?

All guest photos land in a single shared event gallery in your dashboard. You can browse, download, pick the best ones, and later move them to Storage or deliver them to the client through a separate share link.

Share Pages

How do I create a share link?

Pick a folder, click “Create share page”, then set the parameters: title, gallery layout, watermark, PIN, expiry, download and selection permissions. You get an encrypted UUID link to send to the client.

Can I protect a gallery with a password?

Yes. You can set a PIN code on every share link. Without the correct PIN the gallery cannot be opened. The PIN can be changed at any time.

Can I set an expiry date on a link?

Yes. Each link can have an expiry date — e.g. 30 days, a specific date, or no expiry at all. After it expires the link stops working, but the gallery stays in your dashboard.

How does the watermark work?

The watermark is applied to photos shown on the share page and does not touch the original in your dashboard. Use text or an image, adjust position, opacity, rotation, font size and colour. Originals you hand off directly stay watermark-free.

What statistics do I get for a share page?

Every share page records detailed analytics: page views, per-photo viewport time, full-size opens, total and average enlarged-view time, likes, selections and downloads. These numbers tell you what the client actually reacted to.

Do statistics survive if I delete the gallery?

Yes. Even if you delete a folder or share page, the core statistics (client name, gallery title, view counts) stay in your dashboard — just marked as “(deleted)”. You never lose the historical record of work done.

Plans & Billing

What plans does Welepix offer?
  • Gallery: Starter (10 GB), Plus (50 GB), Pro (100 GB), Max (200 GB) — with +50 GB expansion.
  • Storage: Archive (500 GB), Vault (1 TB) — with +250 GB blocks, no upper limit.
  • Guest Gallery: 10 GB, 50 GB, 100 GB.

Which payment methods are accepted?

Payments are processed via Paysera — bank transfer or card. The subscription activates immediately after a successful payment.

Are there long-term commitments?

No. All plans are monthly with no commitments. You can change or cancel your subscription at any time.

Are refunds available?

Welepix provides digital services that start immediately after payment, so no cash refunds are issued for periods already in use. When you downgrade, leftover credit carries over — your new subscription is extended by additional days.

Can I change my plan?

Yes. Upgrade is available anytime — you pay only the pro-rata difference for the remaining days. Downgrade is available once every 30 days, and after a downgrade an upgrade is available again after 24 hours.

How is billing calculated when changing plans?

On upgrade, a pro-rata difference is billed — you only pay for the remaining days of the current cycle at the new plan price. On downgrade, leftover credit is recalculated and added as extra days to the new plan end date.

Do prices include VAT?

Yes. All prices shown on the Pricing page include 21% VAT. The invoice lists VAT as a separate line item.

How do I get an invoice?

After a successful payment a PDF invoice is generated automatically and emailed to you. All invoices are also available in your account under Payments.

What happens if I stop paying?

After your subscription expires, files are kept for a 30-day grace period. During that time you can renew and continue without data loss. After 30 days files may be removed. Storage keeps its separate 90-day minimum retention rule.

Vacation Mode

What is vacation mode?

Vacation mode is a Gallery subscription pause for periods when you do not need to work actively. Instead of the full plan fee you pay a much smaller amount, while your files stay safely stored and accessible.

What is the difference between short and extended vacation?
  • Short vacation — 1 to 3 months. A fit for seasonal breaks or a short pause.
  • Extended vacation — 3 months with no upper limit. Cheaper per-GB rate, but share pages remain unavailable to clients.
How much does vacation mode cost?

The fee is based on the data you keep: a fixed base amount plus a per-GB rate. Extended vacation has a lower per-GB rate than short vacation. The exact amount is shown in your dashboard before you confirm.

How do I pay for vacation — from plan credit or separately?

Two options: (A) deduct from your remaining plan credit — the plan is shortened accordingly; (B) pay upfront separately — the plan is extended by the same number of vacation months after vacation ends.

Account & Security

How do I register on Welepix?

Registration is free. Open the home page, click Sign Up, enter email and password. After registering you can pick the plans you need and start working.

How are my files stored?

All files are stored in encrypted cloud infrastructure replicated across multiple European data centres. Access is fully private — only you and the people you send a share link to can see them. All traffic goes over HTTPS.

Is my client data GDPR-compliant?

Yes. Welepix operates under the EU General Data Protection Regulation (GDPR). Data is stored inside the EU, client data is never resold or used for advertising, and you can delete your account and all files at any time.

How do I change my email or password?

Sign in to your dashboard, open Settings → Account and change your email or password there. If you forgot your password, click Forgot password on the sign-in page and we will email you a reset link.

How do I delete my account?

Start account deletion from Settings → Account. Before deleting, download any files you still need — after deletion they become inaccessible subject to the retention rules. Storage keeps its 90-day minimum retention, which still has to run out.

Which languages does the platform support?

Welepix is available in Lithuanian and English. The language can be switched on any page — both for you and for clients who open a share link.
